How do you use an AI productivity planner with ChatGPT?
The order matters. Start on paper, bring in ChatGPT for the sorting, then finish on paper again.
Empty your head. Use the brain dump page to write every task, reminder and worry in one list. Do not sort anything yet.
Set the limits. Note the hours you really have and any fixed appointments, such as meetings or the school run.
Ask ChatGPT for a draft. Paste your non-sensitive list and limits into prompt 1 on page 10 of the planner, then send it.
Check it against real life. Fix anything that clashes with a deadline, a journey or your energy. ChatGPT only knows what you tell it.
Copy the result by hand. Write your top three on a daily focus page and the timings on the hourly plan. Writing it out is what makes it yours.
Review at the end of the week. Use the weekly review page, then start the next week from the brain dump.
How does ChatGPT turn a messy to-do list into a day plan?
Here is a small worked example. The list and the prompt follow the planner. The plan below is an illustration we wrote to show the kind of reply you can expect. It is not a saved ChatGPT reply, and yours will differ.
The messy list
Call the dentist
Finish the quarterly report
Reply to Sam about the invoice
Buy a birthday card
Prepare the Thursday slides
Book the MOT
Email the landlord
Order printer ink
45 minute gym session
The limits for the day: free from 9am to 3:15pm, a team meeting from 1pm to 2pm and school pickup at 3:30pm.
The prompt
Prompt: Turn my to do list into a realistic day plan: call the dentist, finish the quarterly report, reply to Sam about the invoice, buy a birthday card, prepare the Thursday slides, book the MOT, email the landlord, order printer ink, 45 minute gym session. I am free from 9am to 3:15pm. Fixed: team meeting 1pm to 2pm, school pickup at 3:30pm. Include breaks and mark the three most important tasks.
A plan it might return
Time | Task |
9:00 to 9:15 | Book the dentist and the MOT (two quick calls) |
9:15 to 11:15 | Finish the quarterly report (important task 1) |
11:15 to 11:30 | Break |
11:30 to 12:15 | Reply to Sam about the invoice (important task 2) and email the landlord |
12:15 to 1:00 | Gym session (45 minutes) |
1:00 to 2:00 | Team meeting (fixed) |
2:00 to 3:00 | Prepare the Thursday slides (important task 3) |
3:00 to 3:15 | Order printer ink and choose a birthday card |
3:30 | School pickup (fixed) |
What to check before you use it
Is every task from your list in the plan? Here all nine are there.
Do the fixed appointments sit at the right times?
Are the blocks realistic? A two hour report may need more, so move things if it does.
Is your hardest task in the part of the day when you think best?
ChatGPT can sound sure and still get details wrong, so read the draft as a suggestion. Our guide to how accurate ChatGPT's information is explains why checking matters. Then copy the final plan onto your daily focus page by hand.

Why plan your day before you start it?
Because interruptions are expensive. Gloria Mark of the University of California, Irvine shadowed 36 managers, analysts, engineers and project leaders in an older but widely cited study. She found they worked on an average of 12.2 different working spheres a day, and that interrupted work that was resumed the same day took on average 23 minutes and 15 seconds to get back to (Gallup Business Journal, 2006). A short written plan will not stop interruptions, but it gives you a place to return to.
Planning is also one of the things people already ask ChatGPT to do. OpenAI's study of 1.5 million consumer conversations found that about 49% of messages were asking for information or advice and about 40% were asking it to do something, such as drafting text or planning. Around 30% of consumer use was work-related (OpenAI, September 2025).
The UK picture points the same way. The Office for National Statistics reports that 55% of employees say they use AI for work or education (Opinions and Lifestyle Survey, May to June 2026), while about 35% of UK businesses with 10 or more employees report using at least one AI technology. Adoption is wide, but the ONS also notes it is still shallow in many firms, so a simple routine like this one is a sensible place to start.
How is this planner different from the Weekly Planner Worksheet?
The Weekly Planner Worksheet with ChatGPT is one sheet for laying out a single week. The AI productivity planner is a fuller set: monthly goals, reusable daily pages, an hourly grid, a weekly review and a brain dump. Many people use the worksheet for the shape of the week and the planner for each day. These free PDFs fit well alongside it:
Weekly Planner Worksheet with ChatGPT (PDF 53): one sheet for the whole week.
How to Use ChatGPT to Save Time at Work (PDF 15): twenty practical ways to get a first draft and organise your thinking.
Prompt Log Template: Track What Works (PDF 59): keep the prompts that gave you good plans.
Meeting Notes and Action Items Template with ChatGPT (PDF 60): turn meeting actions into items for your brain dump page.

What should you keep out of ChatGPT when planning?
Leave out passwords, financial details and private information about other people. Use short labels such as client A or the landlord instead of names, and add the detail back on your paper copy. Check anything important, such as a deadline or an amount, against the original source.
If you would like reminders as well as a plan, our guide to whether ChatGPT can set reminders explains what is and is not possible.
Frequently asked questions
What is an AI productivity planner?
It is a planner you fill in yourself, paired with prompts for an AI tool such as ChatGPT. You choose your goals and priorities on paper, then use ChatGPT to sort a messy list, break big tasks into steps and draft a day plan. You stay in charge of every decision.
Is the printable AI productivity planner really free?
Yes. The 10-page PDF is free to download and print, and there is no sign-up or email address to hand over. It is made by WhatIsChatGPT and is independent of OpenAI.
Do I need ChatGPT Plus to use the prompts?
No. The prompts are plain text with square brackets for your own details, so they work in the free version of ChatGPT as well as paid plans. Usage limits depend on your plan, but a daily plan is a short request.
Can ChatGPT plan my day for me?
It can draft a plan from your tasks, hours and fixed appointments. It cannot see your real deadlines, energy or travel time unless you tell it, so check the draft and change anything that does not fit your day.
Is it safe to paste my to-do list into ChatGPT?
Only paste what you are comfortable sharing. Leave out passwords, financial details and private information about other people, and use short labels such as client A instead of names. The planner repeats this advice on its prompt page.
How is it different from the Weekly Planner Worksheet?
The Weekly Planner Worksheet is a single sheet for laying out one week. The AI productivity planner adds monthly goals, reusable daily focus pages, an hourly grid, a weekly review and a brain dump page. Many people use both together.
