ChatGPT Projects Not Working? 9 Fixes to Try

ChatGPT Projects not working can mean several different things: a project is missing, a conversation will not move into it, files refuse to upload, or ChatGPT does not seem to follow the project instructions. Those symptoms can look similar, but they have different causes.
The quickest way to fix the problem is to identify which part has failed before changing settings or deleting anything. Projects depend on the account you are signed into, the workspace you are using, the chat type, project memory, file limits and any administrator controls. Work through the checks below in order and stop when the specific problem is resolved.
OpenAI describes Projects as spaces that keep related chats, files and instructions together. Their availability is subject to plan availability and workspace settings. The current official guide is Projects in ChatGPT.

ChatGPT Projects not working? Identify the failure first
Before troubleshooting, match what you see to the symptom. This avoids changing memory or account settings when the real issue is simply that a conversation was started in the wrong place.
**Project missing from the sidebar:** check the account, workspace and whether your plan or administrator allows Projects.
**Project opens but answers ignore its files:** check the project sources, confirm the file is available, and test the request in a new chat inside that project.
**A conversation will not move into a project:** check whether it was created with a custom GPT or as a Temporary Chat. Some chat types cannot be moved.
**Files will not upload:** check the per-project file limit, the number of files being uploaded at once, storage usage and the file format.
**Instructions appear to be ignored:** check the instructions saved in Project settings. Project instructions apply only inside that project and take priority over global custom instructions.
**Memory seems inconsistent:** check whether the project uses default memory or project-only memory, and whether memory is enabled for the account or workspace.
Fix 1: Check the account and workspace
A project can appear to have vanished when ChatGPT is open under a different account or workspace. This is especially easy to miss if you use a personal account alongside a work or school workspace.
First, check the profile menu and confirm the email address and workspace shown are the ones you normally use. If you have more than one account, switch to the account where the project was created. Then reload the page and check the Projects area in the sidebar.
If the project is still missing, consider whether you are using a managed Business, Enterprise or Edu workspace. OpenAI says Projects inherit workspace restrictions. An administrator can control who is allowed to create or share projects, and can disable individual tools or features at workspace level. A user cannot override those restrictions from an ordinary chat.
For a managed account, ask the workspace owner to check the Projects permissions and confirm that project creation or access has not been restricted. Give them the project name and the account you are signed into; do not send passwords or authentication codes.
If the project is visible on the web but not in the mobile app, update the app and compare the same account on the web. This is a useful way to separate an account or permission problem from a client-specific display issue.
Fix 2: Confirm the conversation is actually inside the project
A normal ChatGPT conversation does not automatically become part of a project just because you mention the project name. Open the project from the sidebar, then start a new conversation from inside it. Check that the project name is visible before you send the first message.
If you already have a conversation you want to use, open its menu and look for **Move to project**. You can also drag an eligible chat onto the project in the sidebar. When the move succeeds, the conversation inherits the project's instructions and file context.
There are important exceptions. OpenAI's Projects guide says chats created with a GPT cannot be moved into a project. A Temporary Chat also cannot be added while it remains temporary. If you do not see Move to project, do not assume the project is broken: the conversation may simply be ineligible.
A practical workaround is to start a new chat inside the project and paste in a short summary of the earlier conversation. Include the goal, decisions already made, key facts and any unfinished questions. If the summary is useful beyond one conversation, save the resulting response to the project's sources so it can be reused.
There is another easy-to-miss detail with custom GPTs. OpenAI says you can use a custom GPT in an existing project chat, but if the first message starts with a custom GPT, the conversation starts as a GPT chat and appears outside the project. Start inside the project first if you want the conversation to use project context.
Fix 3: Check the project's instructions
If ChatGPT answers in the wrong tone, ignores a format or repeatedly misses a project-specific rule, inspect the instructions saved in that project. Open the project, select its three-dot menu, choose Project settings and review the instruction text.
Project instructions are not the same as your account-wide Custom Instructions. OpenAI states that project instructions apply only within that project and override your global custom instructions. That means a project rule can explain why the same prompt receives a different response inside and outside the project.
Make the project instructions specific enough to test. For example, instead of writing “help with my work”, specify the task, audience, preferred output and any constraints: “Use British English. Keep answers concise. When reviewing a spreadsheet, show the calculation and state any assumptions.” Avoid instructions that contradict each other, such as asking for both a one-sentence answer and a detailed report.
Save the changes, open a new chat in the project and test one instruction at a time. Ask for a short response in the required format. If the test works in a new chat but not in an older one, compare the older conversation's context before changing the project settings again.
If you need help separating account-wide rules from project-specific ones, see ChatGPT Custom Instructions: How to Set Them Up (2026).
Fix 4: Check the project's memory setting
Memory problems can make a project feel unreliable because ChatGPT may not be using the same context you expected. A project can draw on its own chats and files, but the exact behaviour depends on its memory setting, your plan and any workspace controls.
Open the project menu, choose Project settings and look for the Memory option. If the project uses default memory, the context it can reference may differ from a project set to project-only memory. Project-only memory is designed to keep context within that project rather than draw on conversations outside it. Shared projects use project-only memory.
Do not assume that project-only memory is available in every workspace configuration. OpenAI says Business and Enterprise users need memory enabled both for the workspace and for the account before the setting is available. If the option is missing, check the workspace policy rather than repeatedly switching unrelated settings.
If you change an existing project's memory setting, allow time for the change to take effect. OpenAI notes that switching an older project to project-only memory may take a few hours. Test again later in a new project conversation rather than judging the setting from one response immediately after the change.
If you are unsure whether the issue is project memory or account memory, compare a simple question in a normal chat and a new chat inside the project. Keep the test neutral and avoid putting sensitive information into the prompt. The difference between the two responses can help identify which context is being used.

Fix 5: Troubleshoot missing or unusable project files
A file can fail at two different stages: it may not upload successfully, or it may appear in the project but not provide the information you expected. Check the source list before uploading it again. Open the project and look for the file under its sources. If it is listed, open the source to confirm that the correct file is attached.
When the file is present, make the first test very specific. Instead of asking “What do you think of these files?”, ask ChatGPT to identify a named heading, a particular column or a clearly labelled section. If it cannot find that information, check whether the file contains the relevant text and whether it is a supported format.
OpenAI's current file-upload guidance lists common formats including PDF, DOCX and TXT for documents; XLSX, XLS, CSV and TSV for spreadsheets; and PPTX for presentations. A Google Docs shortcut file with the .gdoc extension cannot be uploaded directly. Export it as PDF or DOCX first.
For a file that appears in the source list but is not being used, try a small, clean test file with a clear filename. Remove unnecessary pages, duplicate sheets or empty rows if they make the source difficult to interpret. Ask one question whose answer is definitely present in the file. This helps distinguish a source-reading issue from a prompt that is too broad.
If you add a file with the same name as one already in the project, ChatGPT may ask whether to upload it anyway or skip it. Choose Upload anyway if it is a revised file that you intentionally want to add. Choose Skip only when you want to keep the existing copy. OpenAI notes that in a multi-file upload, skipping a name conflict does not stop the other files from continuing.
If you use a connected Google Drive source, remember that OpenAI says the Drive app does not support sync when added within a project. You can still use the app to search and access relevant files, but the content is not pre-synced for retrieval. If a Drive source is not appearing in an answer, open the connected app and search for the specific file rather than assuming it has been indexed into the project.
Fix 6: Check whether the project file limit has been reached
Projects have plan-based file limits. The current OpenAI Help Center lists up to 5 files per project on Free, up to 25 on Go and Plus, and up to 40 on Edu, Pro, Business and Enterprise. OpenAI also says only 10 files can be uploaded at the same time. These limits can change, so check the official Projects and file-upload pages before planning a large upload.
If you have reached the project limit, remove files you no longer need, combine related documents where that makes sense, or split the work into separate projects. Do not delete a useful source until you have another copy. In a shared project, removing a file removes it for everyone in that project.
File size and account storage limits also apply. OpenAI currently lists a maximum of 512 MB per document or presentation, a 2-million-token cap for text and document files, approximately 50 MB for CSV files or spreadsheets depending on row size, and 20 MB for images. Shared upload storage is capped at 25 GB per user and 100 GB per organisation.
If you see “upload limit reached” even though you have uploaded very little, check the account and plan first. Free accounts currently have a lower daily upload allowance, and upload-rate limits can be reduced during busy periods. Failed upload attempts can sometimes count towards the rolling limit. On the web, check Settings > Storage to review saved-file storage. Storage usage and the rolling upload-rate limit are separate things.
The safest test is to upload one small supported file, wait for it to appear in the project sources and ask a question about a detail in that file. If that works, add the remaining files in smaller batches. If the small test fails too, note the exact error and check OpenAI Status before repeatedly retrying.
Fix 7: Find chats that seem to have disappeared
A conversation can be difficult to find without having been deleted. First, open the project and use the search chats feature to look for a distinctive word or phrase from the conversation. Search for a term that is likely to appear in the chat rather than a broad topic such as “work” or “ideas”.
If the conversation was moved into a project, look for it inside that project rather than only in the general chat list. If it was created with a custom GPT or as a Temporary Chat, it may not be eligible for the move in the first place. Start a new chat inside the project if you need the same context there.
Avoid deleting the project as a troubleshooting shortcut. Deleting a project can remove its chats, instructions and files stored only in that project. If the information matters, export or copy the relevant material before making any destructive change. Files saved separately in Library follow their own retention rules, so deleting a chat or project does not necessarily remove every saved copy.
If you use Temporary Chat for private or one-off conversations, read ChatGPT Temporary Chat Explained: When to Use It and What to Know. Temporary chats are not a way to create a permanent project conversation.
Fix 8: Check sharing and workspace permissions
If a shared project opens but you cannot edit instructions, add files or invite someone, check your access level. OpenAI distinguishes between chat access and edit access. A person with chat access can interact with the project, but cannot make the same changes as an editor.
The project owner or workspace administrator may also control whether sharing is allowed. In a managed workspace, the Projects feature can inherit broader restrictions, including tool availability and data controls. If a button is missing or disabled, ask the owner to check the project members and workspace permissions before rebuilding the project.
Treat shared-project files as information visible to other project members. OpenAI says project members can view the project's chats, files and member list, and can download files added to a shared project. Only upload material that you are authorised to share with everyone who has access.
Fix 9: Rule out an app or service problem
If the project, files and permissions look correct, test whether the problem is limited to one device or browser. Refresh the page, update the ChatGPT app, then open the same project in a supported browser. If it works in one place but not another, the issue may be related to the local app or browser session.
You can also try a private browsing window or a different browser to see whether an extension, cached page or local setting is interfering. If you use a browser extension that changes pages, blocks scripts or manages privacy, temporarily disable it for the test and reload. Re-enable extensions afterwards and change only the one that is clearly causing the problem.
Check the official OpenAI Status page for an incident affecting ChatGPT, file uploads or related services. If a service issue is reported, wait for it to be resolved before repeatedly re-uploading files or changing project settings. A temporary service problem is not evidence that your project or its data is damaged.
If none of these checks changes the result, capture the exact error message and note the time, time zone, device, browser or app version, workspace type and the steps that reproduce the problem. Avoid posting account details, private files or sensitive project content in a public forum.
When to contact OpenAI Support
Contact OpenAI Support if the issue continues after you have confirmed the account, workspace, project settings, file limits and service status. A useful support request explains what you expected to happen, what actually happened and the shortest set of steps that reproduces it.
Include the timestamp and time zone, the platform or browser you used, a screenshot of the error and the request ID if one is shown. For an upload problem, mention the file type and approximate size, whether the file appears in the project sources, and whether a smaller test file works. Do not include your password, authentication codes or confidential source documents.
If the project is managed by an organisation, check with the workspace administrator first. They may be able to confirm whether the feature is disabled by policy or whether the account has a permission restriction that OpenAI Support cannot change for an individual user.
Frequently asked questions
Why can't I see Projects in ChatGPT?
Projects are available to signed-in users subject to plan availability and workspace settings. Check that you are using the correct account and workspace. If you are in a managed workspace, ask the administrator whether project creation or access is restricted.
Can I move a custom GPT chat into a Project?
No. OpenAI's current Projects guidance says chats created with a GPT cannot be moved into a project. Start a new conversation inside the project and paste a concise summary of the earlier discussion instead.
Why does a Project ignore my Custom Instructions?
Project instructions apply only inside that project and override your global custom instructions. Review Project settings and remove contradictory rules. Test the revised instructions in a new project chat.
Can I add a Temporary Chat to a Project?
Not while it remains temporary. OpenAI says saving a Temporary Chat converts it into a regular chat that follows your account's personalisation and model-improvement settings. If you need a lasting project record, start a normal chat inside the project.
How many files can I add to a ChatGPT Project?
OpenAI currently lists up to 5 files per project on Free, 25 on Go and Plus, and 40 on Edu, Pro, Business and Enterprise. Only 10 files can be uploaded at once. Check the official limits because they can change.
