ChatGPT can turn rough meeting notes or a transcript into a structured summary. It is especially useful when you need decisions, actions, owners and deadlines separated from general discussion. The quality depends on the notes you provide, so check the result against the original.

How to Summarise Meetings with ChatGPT: Notes, Decisions and Action Items

1. Prepare your notes

Collect the transcript or notes you are permitted to use. Remove confidential details that are not necessary and confirm that recording or transcription was allowed. If you only have rough notes, tell ChatGPT that the source is incomplete so it does not fill gaps with guesses.

2. Use a clear meeting-summary prompt

Try: “Summarise the meeting notes below. Use these headings: purpose, key discussion points, decisions made, open questions and actions. For each action, show owner and deadline only when explicitly stated. Mark missing owners or dates as ‘not specified’. Do not invent details.”

3. Separate decisions from discussion

A useful summary distinguishes an idea that was discussed from a decision that was actually agreed. Ask ChatGPT to quote or point to the supporting wording for important decisions, especially where a transcript is unclear or people disagreed.

4. Build an action tracker

Ask for a table with action, owner, due date, dependency and status. If no owner or deadline was mentioned, leave it blank or label it unassigned. Review the list with attendees before treating it as the official record.

5. Create different outputs for different audiences

A leadership summary may need five bullets and key risks. A project team may need detailed actions and dependencies. Ask ChatGPT for the right length and audience rather than using one long summary for everyone.

6. Verify before sharing

Check names, numbers, dates, commitments and decisions against the source. A fluent summary can still be wrong or omit disagreement. Do not treat AI-generated minutes as an authoritative record until a responsible person has reviewed them.

Common mistakes

Avoid asking for a generic “summary” without specifying what matters. Do not let ChatGPT assign tasks to people based on assumptions. Do not upload confidential transcripts to a tool or account unless your organisation permits it.
