ChatGPT Prompts for Small Business: 12 Free Examples (2026)

ChatGPT prompts for small business work best when you give ChatGPT only facts you can stand behind, then check every answer before you use it. Below are 12 real prompts for understanding customers, describing your offer, planning marketing and replying to enquiries, plus a free 30-day starter plan PDF with no sign-up.

If you run a small business, you write the same kinds of things again and again: a description of what you offer, a reply to a price question, a post for the week. ChatGPT can give you a first draft of each in seconds. It can also invent a price, a deadline or a promise you never made.
This page shares prompts built to prevent that. They come from our free 30-day small business starter plan, and each one tells ChatGPT to stay inside the facts you give it. None of this promises more customers or more sales. Results depend on your business, your facts and your own judgement.

What are the best ChatGPT prompts for a small business?
The best ChatGPT prompts for a small business are specific, short and fenced in. They name the job, hand over the facts and say what ChatGPT must not do. OpenAI's own prompt guidance makes the same general point: be clear and specific, give enough context, and refine your prompt after you read the first answer. OpenAI's prompt guide is worth a read.
Every prompt below is meant to be followed by the same safety line from the starter plan. Paste it after your prompt, or keep it in a note:
Use only the information I supplied, do not invent facts, and list anything that needs checking.
Replace anything in [square brackets] with your own details. Keep those details general. None of these prompts needs a customer's name, address or account number.
What should you check before you paste anything into ChatGPT?
Three things: the facts, the people and your settings.
Facts. ChatGPT writes fluent text whether or not it is right. Only give it prices, dates, terms and policies you have confirmed, then read every line of the answer against your own records. Our guide to how accurate ChatGPT's information is explains why this matters.
People. Never paste customer names, contact details, account information or private messages. Describe the situation in general words, or use made-up placeholders.
Settings. OpenAI's help centre says that on personal ChatGPT Free, Plus and Pro accounts, data sharing is on by default, and you can turn off Improve the model for everyone in Data controls. It also says content from Business, Enterprise and Edu workspaces is not used to train its models by default. Check which kind of account you are using. OpenAI's page on data controls in ChatGPT has the steps.

Which ChatGPT prompts help you understand your customers?
Start with what you already know. These four come from days 2 to 6 of the starter plan.
Sort facts from guesses: From these non private notes about [customer group], describe the needs stated directly. Separate facts from guesses: [notes].
Group questions: Group these customer questions into themes without adding answers: [questions].
Know what to check: Based only on these notes, list what I know, what I am assuming, and what I should check: [notes].
Test an assumption: Suggest a short, non intrusive question I could ask to check whether [assumption] is accurate.
These work because they ask ChatGPT to sort what you told it, not to guess about people it has never met. If a prompt asks for a customer profile with no notes behind it, expect invention.
Which ChatGPT prompts help you describe what you offer?
A clear offer is easier to sell and easier to reply about. These three come from days 8 to 12.
Tidy a description: Rewrite this offer description for clarity without changing its meaning: [description].
Find the gaps: Identify unclear words in this offer description and ask me questions rather than filling gaps: [description].
Spot risky claims: Check this offer text for guarantees, unsupported claims, or missing qualifications: [text]. Do not rewrite until you list them.
The third is worth using on any text before it goes public. Treat the list it gives you as a prompt for your own check, not as legal advice.

Which ChatGPT prompts help you plan marketing?
Keep marketing small and repeatable. These three come from days 13 to 18.
Topic ideas: Suggest five useful post topics about [offer] for [audience]. Use these customer questions: [questions].
An outline: Make a short outline for a helpful post answering [question], using only these verified points: [points].
A first draft: Turn these notes into a short helpful post with one clear next step: [notes]. Flag missing facts instead of guessing.
The pattern is verified points in, outline out. If you send marketing emails or messages, respect consent and the rules for your channel, and read the draft as your customer would.
Which ChatGPT prompts help you reply to enquiries?
Replies are where invented details do the most harm, so these prompts supply the answer first. They come from days 19 to 21.
A question: Draft a courteous reply to a question about [topic]. Use only this confirmed answer: [answer]. Leave out anything unknown.
Availability: Make this availability reply clear and warm, without implying a booking is confirmed: [confirmed dates and process].
A complaint: Help me acknowledge a complaint and ask for the next useful detail. Do not admit or deny facts I have not checked: [general issue].
A review request: Draft a respectful review request that makes clear feedback is optional: [review route and context].
Do not paste the customer's own message if it holds personal details. Summarise the question in general words instead. If you want to know whether ChatGPT can send the reply for you, see can ChatGPT send emails.
What should you give ChatGPT, and what should you check, each time?
Use this table as a quick reminder before you press send.
Stage | What to give ChatGPT | What to check before you use it |
Customers | Non private notes you wrote yourself | That guesses are still labelled as guesses |
Your offer | Confirmed inclusions, timing and terms | That nothing promises a result you cannot back up |
Marketing | Verified points and real customer questions | Every fact, plus the rules for your channel |
Replies | The confirmed answer, in general words | Price, dates and tone, with no personal data pasted |
Run through the table each time and you catch most of the problems before a customer sees them.
How many UK small businesses use AI?
The Office for National Statistics reports that around 3 in 10 (30%) UK businesses used at least one type of AI technology in September 2026, up from 9% in September 2023. For businesses with fewer than 10 employees, the figure was 29%. Among businesses with 10 or more employees, text generation with large language models, the kind of tool ChatGPT is, was the most used AI technology at 21%. The source is the ONS Business Insights and Conditions Survey bulletin of 8 October 2026.
ONS describes these as official statistics in development and advises caution, and the survey is voluntary. The figures show that many small businesses are trying AI. They do not show that it will help yours. Test it in small steps and keep what proves useful.

How do you use the free 30-day small business starter plan?
The starter plan is an 11-page PDF. It holds a customer worksheet, an offer worksheet, a weekly marketing rhythm page, six enquiry reply templates, four weekly check-ins covering days 1 to 30, and a library of 30 prompts. Twelve of them are on this page. It is free, with no sign-up.
Download it and save or print the pages you want.
Start with the two worksheets, using only what you know directly.
Follow one weekly check-in at a time, doing one small task a day.
Use the prompts only on the matching days, and check every answer.
Finish with the day 30 review and decide what to keep, change or stop.
Which other free PDFs help a small business?
The starter plan is a day-by-day workbook. If you want a different angle, these free PDFs are also on the site:
ChatGPT Prompts for Small Business Owners (PDF 08), a longer list of prompts by task.
ChatGPT Prompts for Customer Service Teams (PDF 36), for answering customers consistently.
ChatGPT Prompts for Marketers (PDF 38), for planning and drafting campaigns.
AI Use Policy Template for Small Teams (PDF 58), for agreeing what staff may and may not paste into ChatGPT.

Frequently asked questions
Can ChatGPT help run a small business?
It can help you draft, organise and reword. It cannot know your prices, your availability or your customers unless you tell it, and it can sound sure when it is wrong. Use it for first drafts and keep every decision, and every final check, for yourself.
Is it safe to put customer details into ChatGPT?
Do not paste customer names, contact details, account information or private messages. Describe the situation in general terms instead. OpenAI says data sharing for model improvement is on by default for personal Free, Plus and Pro accounts, and you can turn it off under Data controls.
What is a good prompt for replying to a customer?
Give ChatGPT the confirmed answer and tell it to leave out anything unknown. For example: Draft a courteous reply to a question about [topic]. Use only this confirmed answer: [answer]. Leave out anything unknown. Then check the draft before you send it.
Is the 30-day small business starter plan really free?
Yes. It is a free PDF with no sign-up and no email address needed. It has worksheets, six enquiry reply templates, four weekly check-ins and 30 prompts, and it is original to this site.
Will these prompts bring me more customers?
Nobody can promise that, and this page does not. The prompts help you draft and organise clearer information faster. Whether that helps your business depends on your offer, your customers and the work you put in.
Do I need a paid ChatGPT plan to use these prompts?
No. The prompts are plain text and work in any plan. Paid plans mainly change limits and features. To compare them, see our ChatGPT plans compared guide.
